This page summarizes the press work processes and responsibilities. Each team member must be aware of the information on this page.
Organization
Team / Organisational leader
Keeps track of all (new) team members, sees how they do and makes sure they know what to do, provides individual support to team members. Makes sure the organisational tasks get completed, follows up with single team members and is available for questions and ideas.

Editorial leader
Takes care of the PR workflows, makes sure that all PR apply to the Guidelines and that deadlines are met. Communicates with other groups as required.

Joining the team
This is the process for new team members.
- Before joining the team, every volunteer should read the Press Work wiki section (these processes actually are part of it) to know how the team works and what he or she will need to know to be able to contribute
- The team can be joined by signing up to our mailing list
- To access Redmine an account is needed. Please sign up so we can give you the required permissions.
- Each new team member should send an introductory email including her Redmine username to the mailing list
- When signing up to the mailing list, people receive a welcome message that tells them how to proceed and where they have to register (Pad and Redmine)
- Everyone who signs up will be contacted by the team leader, who will be available for questions and support
Team Communication
How is the team work organized?
- The main communication platform for the team is the mailing list
- General questions can be asked there or to the department leader (team / organisational / editorial)
- We have a regular mumble conference call, to discuss the overall progress and any questions and issues. Everyone can add topics for these meetings in the pad.
Task workflow
We handle all tasks (tickets) in Redmine. Here's a guide on how to use it!
- We use Redmine to track open tasks and requests.
- New tasks that need to be completed can be added to the redmine by every team member.
- Every team member can go there, pick one of the tasks and take responsibility for fulfilling it.
- The status of the task, any updates and required information are tracked within the ticket. Finished tasks are marked as "Resolved".
- The organisational leader ensures that all tasks are completed within the deadline and is available for questions on all organisational tasks.
Press releases (PPI)
Workflow for press releases initiated by PPI. Please bear in mind what the Guidelines say.
- New requests for press releases by the triggers (the PPI board members and the editorial and team leader) are submitted to the mailinglist
- The first team member who reads it takes responsibility for its completion,
- opens a pad where the PR is written and fills in the required information,
- opens a ticket in redmine with a link to the pad,
- writes a rough draft and sends the link to the mailing list, so that all others can participate.
- When the PR is finished, he sends it to the editorial leader with a Cc to the press team for approval.
- When approved, one of the leaders distributes the PR using the CRM.
- When the process is finished the pad content is copied to the ticket and the ticked is closed.
- If the person cannot take care of the whole process, responsibility must be handed over to another named team member.
Press releases (PPI members)
Workflow for press releases initiated by PPI members. Important: The PPI Press Team does not write texts for Pirate Parties.
- All members of the PPI can ask the team to re-distribute their national press releases. The process works the same as with the PPI press releases, with some additions:
- All messages have to be sent in in an English translation.
- If required, the English text is re-written to fit our demands.
- The editorial leader decides whom it is distributed to (own distribution list / national parties / countries...)
Press requests
Workflow for press requests.
- Reporters can send requests for statements or interviews to press@pp-international.net.
- These emails arrive in redmine as tickets.
- Every day, one team member will be responsible for the account and process all incoming emails and those already in progress.
- Interview requests are referred to the requested person.
- Small requests or questions are answered straight away.
- Larger requests for statements are treated like PPI press releases:
- The responsible person opens a pad, adds the requests and sends it to the mailing list.
- The team collaboratively writes a reply.
- The editorial leader checks and sends it.
- The answer is copied to the ticket, the state is changed to Resolved.
